  • Who will receive information about our proposal?

Our abstract management system is designed so that the submitting author receives all official correspondence related to the submission. This process is consistent across all participants and ensures clarity in communication. While we are not able to add additional email addresses to the automated notifications, we are able to add additional names to the top of your invitation letter, which you are welcome to use for any documentation needs, including funding requests. Please reach out to [WHO] to receive additional documentation.

Can we know if we are issued a slot for a presentation instead of just a poster before September 15?

All submissions not selected for an oral slot have been placed on a waitlist, based on the evaluation scores by our Scientific Committee. As stated in the acceptance notice, we are only able to reassess your position once you register, as we must first confirm which accepted speakers plan to attend and use their allocated slots.

We will begin offering waitlist upgrades after our initial September 1 speaker registration deadline — at that point, we’ll have a clear sense of availability, and will notify submitters if they are able to be upgraded by September 15.

We understand this can be challenging while fundraising, but unfortunately, we are not able to confirm waitlist outcomes prior to registration. This process is designed to ensure fairness and transparency for all participants.

  • Are there going to be virtual or hybrid sessions?

At this time, we are currently having an entirely in-person event with no virtual or hybrid sessions. Please keep in mind that the region where we hold ICUH changes every year, so we might be closer to you in the future!

Can I submit a pre-recorded video if I am not able to present in person?

As part of a panel of presenters, we can accept up to 2 pre-recorded videos maximum if the presenter is unable to present in person. However, the majority of the panel still needs to present in person.

How many times can I submit a proposal as a first author?

A first author can submit a maximum of two abstracts and can be named as a co-author on as many others as is appropriate.

  • Who is eligible to apply for ICUH 2025 scholarship support?

This year our scholarships are only open to ISUH members who are students and recent graduates/ early career professionals who have demonstrated financial need. Unfortunately, the scholarship application process is now closed, and at this time, we have exhausted all available scholarship funding.

If any additional support becomes available, we will be sure to let you know. In the meantime, we very much hope you'll still be able to join us in Wellington.

  • What does my registration include?

ICUH registration will cover your entrance, welcome gift, access to all plenary and breakout sessions, as well as lunch and refreshments for all 3 days of the main conference program (Nov. 18-20).

Nothing else (like certain site visits and social events) will be included unless purchased as an add-on. Tickets for these activities will be made available in the coming weeks.

Can I return and get a refund on my ticket?

As per ISUH policy, all ICUH tickets are non-refundable. We do offer full refunds only in the exceptional case that your visa application to enter Aotearoa New Zealand for ICUH 2025 is denied after you purchased a ticket. Proof of denial is required in order to process your refund.

Can I purchase a ticket for someone else, or transfer my ticket to someone else?

Yes. The system allows an individual to purchase a conference ticket on someone else’s behalf. It is also possible to transfer a ticket to someone else to attend. If you are unable to do this online via Oxford Abstracts (our registration platform), please email lschiff@isuh.org and provide your name, and the contact and affiliation details of the person to whom the ticket needs to be transferred to.

How do I purchase a student ticket?

Becoming an ISUH Student Member for $75 USD grants you access to the most heavily reduced pricing on conference registration. ISUH Student Membership is the least expensive membership type and allows you to receive full benefits of membership, including discounted conference tickets.
